Every time you tap a card, click "pay" online, or send money through an app, you're setting off a fast chain of digital messages between banks, card networks and payment processors. It looks instant, but there's a lot happening in that split second.
From tap to transaction
When you make a payment, your device or card sends encrypted details to a payment terminal or website. This information is passed to a payment processor, which checks with your bank (the issuer) whether you have the funds or credit available. At the same time, the card network — such as Visa or Mastercard — acts as the messenger between your bank and the merchant's bank, confirming the details match and the transaction is legitimate.
This whole exchange, known as authorisation, typically happens in one or two seconds. The merchant gets an instant "approved" or "declined" response, even though the actual movement of money hasn't finished yet.
Authorisation vs settlement
Approval isn't the same as payment. After authorisation, transactions are usually bundled together and processed in batches, a step called settlement. This is when money actually moves from the customer's bank to the merchant's bank, often taking one to a few business days depending on the systems involved.
Newer payment rails, including some instant transfer and open banking services, are narrowing this gap by settling funds much faster, sometimes within minutes.
Why this matters
Understanding the difference between authorisation and settlement helps explain everyday things like why a refund can take days to appear, or why a pending transaction might briefly reduce your available balance before disappearing.
